Taxonomy 

The Taxonomy settings control how jobs are organized and how candidates move through your hiring process.

To open these settings, go to:

Careers → Settings → Taxonomy 

This section contains:

  • Job Categories
  • Job Tags
  • Candidate Stages

Job Categories

Job Categories group similar job listings together. Examples include Administration, Sales, Operations, Marketing, and Technical.

Categories are available when creating or editing a job. They may also be used to filter job listings on the public careers page.

Add or edit categories

  1. Find the Job Categories field.
  2. Enter each category as a comma-separated list.
  3. Select Save Changes.

For example:

Administration, Marketing, Sales, Technical

Use short, recognizable names that make sense to both your hiring team and candidates.

The default category is General. You can rename or remove it after adding your own categories, but at least one category is required.

Job Tags

Job Tags are short labels used to draw attention to important details about a job.

Examples include:

  • Now Hiring
  • Just Posted
  • Great Opportunity
  • Remote Position
  • Urgent Hire

Add or edit job tags

  1. Find the Job Tags field.
  2. Enter each tag as a comma-separated list.
  3. Select Save Changes.

Keep tags brief. Labels between one and five words are usually easiest to read.

Job Tags can be selected while editing a job and may appear above the job listing on the public careers page.

Candidate Stages

Candidate Stages define the steps candidates move through during your hiring process.

Stages are used throughout Kraken Careers, including:

  • Candidate and Talent Pool filters
  • Candidate review fields
  • Dashboard queue summaries
  • Job candidate-count columns
  • Reporting
  • Candidate automations
  • Screening-question auto-move settings

The first stage in the list is automatically assigned to new candidates.

Add a candidate stage

  1. Find the Stages section.
  2. Select Add Stage.
  3. Enter a clear stage label.
  4. Configure where the stage should appear.
  5. Select Save Changes.

Example stage names include:

  • Needs Review
  • Reviewing
  • Contacted
  • Interview Scheduled
  • Interviewed
  • Evaluation
  • Offer Sent
  • Hired
  • Rejected

Reorder candidate stages

The order of the stages represents the order of your hiring workflow.

To change the order:

  1. Find the stage you want to move.
  2. Drag the stage row to its new position.
  3. Confirm that the first stage is the stage new candidates should receive.
  4. Select Save Changes.

Changing the order does not automatically change the current stage of existing candidates.

Stage settings

Each candidate stage includes the following options.

Label

The name displayed in candidate records, filters, dashboard cards, job columns, and reports.

Use a short label that clearly describes the step in your review process.

Show on Dashboard

Enable this option to include the stage in the dashboard’s Candidate Queue Summary.

Disable it for stages that do not need regular attention on the dashboard.

Show in Job Columns

Enable this option to add a candidate-count column for the stage to the Jobs list.

This makes it easier to see how many candidates for each job are currently in that stage.

Only enable this option for the most important stages. Enabling too many stages can make the Jobs table crowded.

Exclude from Reporting

Enable this option when candidates in the stage should not be included in active hiring statistics, totals, or count displays.

This is generally useful for final stages such as:

  • Offer Declined
  • Hired
  • Rejected

Edit a candidate stage

  1. Expand the stage row.
  2. Update its label or display options.
  3. Select Save Changes.

Renaming a configured stage updates how that stage appears throughout Kraken Careers.

Remove a candidate stage

Before removing a stage, move any candidates currently using it to another active stage.

Removing a stage does not delete candidate records. However, candidates assigned to a removed stage may no longer appear correctly in filters, dashboard summaries, job counts, or reports.

After moving the affected candidates:

  1. Remove the stage row.
  2. Select Save Changes.

Restore the default stages

Use Reset to Default if you want to restore the standard Kraken Careers candidate stages.

Resetting replaces your customized stage configuration. Review the restored list before saving, especially if existing candidates use custom stages.

Recommended setup

A simple candidate workflow could use:

  1. Needs Review
  2. Reviewing
  3. Contacted
  4. Interview Scheduled
  5. Interviewed
  6. Evaluation
  7. Offer Sent
  8. Offer Accepted
  9. Hired
  10. Rejected

Your organization can add, rename, remove, and reorder stages to match its hiring process.
