What Is the Dashboard?

The Kraken Careers Dashboard gives your hiring team a central view of current job postings, candidate queues, applications requiring attention, upcoming job expiry dates, setup alerts, candidate fit results, and reviewer workloads.

It is designed to help users identify what needs attention without opening each Careers section individually.

To open the Dashboard, go to Careers → Dashboard.

Dashboard Widgets

The current Dashboard includes:

  • Release Notification
  • Published Job Postings
  • Candidate Queue Summary
  • Action Required
  • Jobs Expiring Soon
  • Setup / Health Alerts
  • Candidates
  • Reviewer Workload

The widgets available to each user depend on their Kraken Careers role.

Release Notification

The Release Notification widget displays information about a Kraken Careers release.

It can include:

  • Release version
  • Release title
  • A short description of the release
  • A Learn More link to the complete release announcement

The Learn More link opens the release article in a new browser tab.

Careers Editors can see the release notification, but the external Learn More button is not displayed for that role.

Published Job Postings

The Published Job Postings widget provides a summary of published jobs and their candidate activity.

Jobs are listed alphabetically by title.

Each job row can display:

  • Job ID
  • Job title
  • Job location
  • Candidate stage counts
  • Current dashboard status
  • An Edit button, when permitted

Select a job row to expand it and view its candidate-stage shortcuts.

Job Locations

The location shown in the Published Job Postings widget comes from the locations assigned to the job.

When several locations are assigned, the cities are displayed together.

If no location is available, the widget displays No location.

Candidate Stage Counts

Each job row shows counts for the hiring stages configured to appear in the Jobs dashboard columns.

These commonly include:

  • Action Needed
  • Needs Review
  • Interview Scheduled

Expand the job row to see the complete stage labels and counts.

Users with candidate access can select a stage shortcut to open the Candidates list filtered by:

  • The selected job
  • The selected hiring stage

Careers Editors can see the stage counts, but the stage controls are displayed as non-clickable information.

Job Dashboard Status

The status shown in the Dashboard is calculated from the job’s publication status, Careers status, closing date, and expiry date.

Open

A published job is shown as Open when it is not closed and is not expiring within the next seven days.

Closed

A published job is shown as Closed when:

  • Its Careers job status is Closed, or
  • Its closing date has passed

Expiring Soon

A published job is shown as Expiring Soon when its expiry date falls within the next seven days.

An already closed job remains classified as Closed, even when it also has an upcoming expiry date.

The Dashboard status is a quick operational indicator. Open the job to review its complete publication status, dates, and validation information.

Filter Published Jobs

The Published Job Postings widget includes controls for filtering the displayed jobs.

Status

Available status filters include:

  • All statuses
  • Open
  • Closed
  • Expiring Soon

Display

Choose the maximum number of jobs to show:

  • 10
  • 20
  • 30
  • 40
  • 50

Select Apply after changing the filters.

The filtering happens directly within the Dashboard. It does not change the jobs themselves.

If no jobs match the selected filters, the widget displays:

No job postings match the selected filters.

Edit a Job From the Dashboard

Users with permission to edit jobs can select Edit beside a job.

The Edit button is available to:

  • Administrators
  • Careers Admins
  • Careers Managers
  • Careers Editors

The Careers Team role can view published job information but does not receive job-edit buttons.

Candidate Queue Summary

The Candidate Queue Summary shows the number of active candidates in each hiring stage configured for the Dashboard.

Each stage displays:

  • The stage name
  • The current candidate count

Select a stage to open the Candidates list filtered to that stage.

The available stages follow the hiring-stage settings configured in Kraken Careers. If no stages are selected for the Dashboard, the widget displays:

No candidate stages are selected for the dashboard.

Use this widget to see where candidates are currently waiting and which stage requires the most immediate review.

Action Required

The Action Required widget identifies active candidates who may require follow-up.

A candidate can appear for one of two reasons:

  • Needs a reviewer: No reviewer is assigned.
  • No activity for 7+ days: A reviewer is assigned, but the candidate record has not been updated for at least seven days.

Candidates in terminal stages, such as Hired or Rejected, are excluded.

The widget shows up to six candidates.

Candidates without a reviewer are shown first. Stalled candidates follow, with the oldest activity shown first within each group.

Users with candidate access can select Review to open the candidate record.

If no candidates require attention, the widget displays:

No candidate actions require attention.

How to Clear an Action

For a candidate who needs a reviewer:

  1. Open the candidate.
  2. Find Reviewer Tools.
  3. Assign one or more reviewers.
  4. Save the candidate.

For a candidate with no activity for seven or more days:

  1. Open the candidate.
  2. Review the application and current stage.
  3. Complete the required follow-up.
  4. Update the hiring stage, reviewer assignment, notes, or other relevant candidate information.
  5. Save the candidate.

Because inactivity is based on the candidate record’s last modification time, saving a relevant update refreshes its activity time.

Jobs Expiring Soon

The Jobs Expiring Soon widget shows published jobs with an expiry date during the next seven days.

Jobs are ordered by expiry date, with the soonest expiry first.

The widget displays up to six jobs.

Each row shows:

  • Job ID
  • Job title
  • Expiry date
  • An Edit button, when permitted

If no jobs are expiring during the next seven days, the widget displays:

No jobs are expiring in the next 7 days.

Review an Expiring Job

Before a job expires:

  1. Select Edit.
  2. Confirm whether recruitment should remain open.
  3. Review the job status.
  4. Update the closing or expiry date if required.
  5. Review the public posting.
  6. Save the job.

Do not extend a job automatically without confirming that the position is still available.

Setup / Health Alerts

The Setup / Health Alerts widget identifies Careers configuration and data issues that may need attention.

The current alerts include:

  • Settings issues
  • Published jobs missing required dates
  • Active candidates without assigned reviewers

Select an alert to open the relevant Careers screen.

If no alerts are detected, the widget displays:

No setup or health alerts found.

Settings Issues

The Settings alert shows the number of validation issues currently recorded in Kraken Careers settings.

Select the alert to open the Settings page and review the affected fields.

Jobs Missing Dates

A published job is included in this alert when one or more of the following fields are empty:

  • Starting date
  • Closing date
  • Expiry date

Select the alert to open the Jobs list.

Review each affected job and complete the missing dates. These dates control job availability, status behaviour, and expiry handling.

Unassigned Candidates

The unassigned-candidates alert counts active candidates without a reviewer.

Candidates in terminal hiring stages are excluded.

Select the alert to open the Candidates list filtered to show unassigned candidates.

Candidates Widget

The Candidates widget combines two candidate views:

  • Recent
  • Best Fits

Select the appropriate tab to switch between them.

Recent Candidates

The Recent tab shows the five newest active candidate applications.

Each candidate row can display:

  • Screening fit label
  • Screening score
  • Candidate name
  • Job applied for
  • Current hiring stage
  • A View button, when permitted

Candidates without a valid screening score display N/A.

Select View to open the candidate record when your role permits candidate access.

If no recent candidates are available, the widget displays:

No recent candidates found.

Best Fits

The Best Fits tab highlights active candidates whose screening results are currently labelled:

  • Strong Fit
  • Good Fit

Candidates in terminal stages such as Hired or Rejected are excluded.

The widget displays up to five candidates. Strong Fit candidates appear before Good Fit candidates. Within each fit level, newer applications appear first.

Each row includes:

  • Fit label
  • Percentage score
  • Candidate name
  • Job applied for
  • Current hiring stage
  • A View button, when permitted

If no candidates currently have a Strong Fit or Good Fit result, the widget displays:

No strong or good fit candidates found.

How Best Fits Are Determined

Best Fits depend on the Score-Based Screening and Fit Ranges configured in the Screening Questions set assigned to the job.

For a candidate to appear:

  1. The job must have a Screening Questions set.
  2. Supported questions must have scoring enabled.
  3. The candidate must submit scored answers.
  4. The calculated percentage must fall within a Strong Fit or Good Fit range.
  5. The candidate must remain in an active, non-terminal hiring stage.

Best Fits help prioritize review, but they should not replace a complete and fair assessment of the application.

Reviewer Workload

The Reviewer Workload widget shows how many active, non-terminal candidates are assigned to each reviewer.

The widget displays up to five reviewers, ordered from the highest assigned-candidate count to the lowest.

Each row shows:

  • Reviewer name
  • Number of assigned candidates

If a candidate is assigned to several reviewers, that candidate is counted for each reviewer.

Candidates in terminal stages are excluded.

If no reviewer assignments exist, the widget displays:

No reviewer assignments found.

Use this widget to identify large differences in assignments. Candidate complexity and shared reviews should also be considered before reassigning work.

For more detailed reviewer measurements, including inactive candidates and first-review times, use Careers → Reporting.

Rearrange Dashboard Widgets

Dashboard widgets can be reordered for each user.

To rearrange the Dashboard:

  1. Go to Careers → Dashboard.
  2. Place the pointer over a widget heading.
  3. Click and hold the heading.
  4. Drag the widget to the preferred position.
  5. Release the widget.

The layout is saved automatically for the current WordPress user.

Changing your Dashboard order does not affect other users.

The Release Notification remains pinned at the beginning of the Dashboard. The Candidates widget remains pinned at the end.

Collapse Dashboard Widgets

Widgets can be collapsed to reduce the amount of information displayed.

To collapse or expand a widget:

  1. Find the control in the widget heading.
  2. Select it to collapse the widget.
  3. Select it again to expand the widget.

Collapsed and expanded states are saved automatically for the current user.

Dashboard Access by Role

Dashboard widgets and actions vary by role.

Administrator

Administrators receive full Dashboard access, including:

  • Release Notification
  • Published Job Postings
  • Candidate Queue Summary
  • Action Required
  • Jobs Expiring Soon
  • Setup / Health Alerts
  • Candidates
  • Reviewer Workload

Administrators can use all available Dashboard links and actions permitted by WordPress.

Careers Admin

Careers Admins receive the full Dashboard and its available job and candidate actions.

Careers Manager

Careers Managers receive the full Dashboard and its available job and candidate actions.

Careers Editor

Careers Editors can see:

  • Release Notification
  • Published Job Postings
  • Jobs Expiring Soon

Careers Editors can use job Edit buttons where available.

They cannot use candidate-stage shortcuts or candidate action buttons from the Dashboard. The external release Learn More button is also hidden.

Careers Team

Careers Team users can see:

  • Release Notification
  • Published Job Postings
  • Candidate Queue Summary
  • Action Required
  • Candidates

Careers Team users can use candidate-related links where permitted.

Job Edit buttons are not displayed.

Other Users

Users outside the supported Kraken Careers roles cannot open the Dashboard.

Recommended Daily Dashboard Review

A practical daily review can follow this order:

  1. Review Action Required.
  2. Assign reviewers to unassigned candidates.
  3. Follow up on candidates with no activity for seven or more days.
  4. Review the Candidate Queue Summary.
  5. Check Best Fits for strong new applications.
  6. Review Recent Candidates.
  7. Check Jobs Expiring Soon.
  8. Review Setup / Health Alerts.
  9. Compare assignments in Reviewer Workload.
  10. Open Published Job Postings that require closer review.

The Dashboard is a summary of current Careers activity. Use the Jobs, Candidates, Talent Pool, Screening Questions, and Reporting sections when more detailed information is required.
