Archiving Applicants

The Application Archives provide a simple way to organize and declutter your workspace. As your pipeline grows, the archive helps keep your list of active applicants and potential future hires clean, focused, and easy to manage.

Recommended Uses

1. Organize Active Review Workflows

A common recommended approach is to move all actively reviewed applicants into the archive.

This prevents them from being mixed in with new, incoming applicants and creates a cleaner, more structured workflow for your team.

Archiving does not delete the applicant – everything remains accessible, searchable, and fully reviewable.

2. Store Hired Applicants

Another effective use for the archive is to store applicants who have been hired, removing them from the main review queue while keeping all their records available for future reference or reporting.

3. Store Applicants for Future Consideration

Have two strong applicants, but can only hire one? Archive one for future consideration.


How to Move an Applicant to the Archives

Applicants can be easily moved to the archive using the steps outlined in the earlier documentation under Reviewer Tools settings.

  • To archive an Applicant go to CareersApplications → Click the Applicant you want to archive
  • In the Reviewer Tools panel, select Archive This Applicant.
  • Click the Update button to save the change

The applicant will be moved into the Application Archives but will remain fully accessible for future review, exporting, or reporting.


Exporting Applicants

The Archives include a bulk export feature that allows you to export archived applicants into a CSV file.

This is useful for:

  • Record keeping
  • HR audits
  • Importing into other systems
  • Reporting and analytics

Exports will include all key applicant data stored in the system.
