Pipeline Columns
Each column represents a stage enabled in your pipeline settings.
Your columns might include Reviewing, Contacted, Interview Scheduled, Evaluation, or Offer Sent. The names and order depend on your configured stages.
Each column displays:
- The stage name.
- A candidate count.
- Candidate cards.
- A Load more button when additional candidates are available.
Scroll horizontally to see columns beyond the edge of the screen. You can also drag an empty area of the board to move across it.
Candidate Cards
Each card displays the candidate’s name and available application information, including:
- The job they applied for.
- Their fit label, where available.
- The application date.
- Assigned reviewers.
Candidates without assigned reviewers display Unassigned.
Select the candidate’s name to open their full record. From there, you can review documents, add notes, assign reviewers, and manage communications.
See Reviewer Tools for instructions on managing the review.
Move a Candidate Between Stages
Drag a candidate’s card to update their review stage.
- Find the candidate’s card.
- Press and hold the card away from the candidate-name link.
- Drag it into the required stage column.
- Release the card.
The stage change saves automatically. A confirmation appears when the move succeeds, and the column counts update.
Moving a card updates Candidate Review Stage on the candidate’s record. You do not need to open the record or select Save Changes separately.
If the move fails, the card returns to its previous column and an error message appears.
Move a Candidate Using the Keyboard
- Use Tab to focus the candidate card.
- Press Space or Enter to pick it up.
- Use Left Arrow or Right Arrow to choose a stage.
- Press Space or Enter again to save the move.
Press Escape before saving to cancel the move and return the card to its original position.
Filter Candidates
Filter by Job
Use the Job filter to focus on candidates for a particular position.
- Select a job.
- Select Filter.
Choose All jobs and select Filter to view candidates across your job postings.
Filter by Assigned User
Use Assigned user to find candidates assigned to a particular reviewer.
- Select the reviewer.
- Select Filter.
Choose Unassigned to find candidates who do not have a reviewer, or All users to remove the reviewer filter. Select Filter to apply the selection.
Combine Filters
You can combine the Job and Assigned user filters. For example, select a job and Unassigned to find candidates for that position who still need a reviewer.
To assign someone, open the candidate’s record and use Assign Reviewer(s) under Reviewer Tools.
Load More Candidates
The pipeline loads candidates in batches within each stage.
If a column contains more candidates than are currently displayed, select Load more at the bottom of that column.
Additional cards load into the same stage using your current job and assigned-user filters.
The count at the top represents the stage’s matching candidates, including those not yet loaded.
Configure Pipeline Stages
Choose which review stages appear as columns on the board.
- Go to Careers → Settings → Taxonomy.
- Find Candidates → Stages.
- Expand the stage you want to configure.
- Enable or disable Show in Candidate Pipeline.
- Select Save Settings.
Column Order
Reorder the stage rows in settings to change the column order, then select Save Settings.
Hidden Stages
Disabling Show in Candidate Pipeline hides that stage from the board. Candidates assigned to it remain in their existing stage and can still be managed through Careers → Candidates.
At least one stage must be enabled for the pipeline to display columns.
Candidate Access
The pipeline follows candidate access permissions.
Candidates restricted by Only Viewable by Assigned Reviewers appear only for users who have access to their private information. Selecting All users does not override those restrictions.
The pipeline displays active candidate records. Candidates moved to the Talent Pool are managed under Careers → Talent Pool.
Troubleshooting
A Candidate Is Missing from the Board
- Set the filters to All jobs and All users, then select Filter.
- Check whether the candidate’s stage has Show in Candidate Pipeline enabled.
- Select Load more in the relevant column.
- Confirm that you have permission to access the candidate.
- Check whether the candidate has been moved to the Talent Pool.
You can also find the candidate under Careers → Candidates and open their record to check their current stage and reviewer assignments.
No Stage Columns Appear
Go to Careers → Settings → Taxonomy → Candidates → Stages. Enable Show in Candidate Pipeline for at least one stage, then select Save Settings and reload the pipeline.
A Stage Column Is Missing
Scroll horizontally to check the columns beyond the edge of the screen.
If the stage is still missing, check that Show in Candidate Pipeline is enabled for that stage and save the settings.
The Candidate Count Is Higher Than the Number of Cards
The column count includes matching candidates that have not loaded yet. Select Load more at the bottom of the column to display the next batch.
A Card Returns to Its Previous Column
The stage change failed to save. Read the error message displayed on the board before trying again.
Open the candidate’s record to check their saved Candidate Review Stage if you need to confirm their current position.
Selecting a Card Opens the Candidate Record
The candidate’s name is a link to their record. Start dragging from another area of the card, or use the keyboard controls to move it.
Changing a Filter Does Not Update the Board
Select Filter after changing the Job or Assigned user selection. To remove both filters, choose All jobs and All users, then select Filter.
All Users Does Not Show a Restricted Candidate
All users removes the reviewer filter but does not change access permissions. An authorised user must review your assignment and the candidate’s visibility settings.
