Evaluations

Overview

Evaluations collect feedback from interview attendees using saved question sets. Each interviewer receives a private link to rate the candidate, add notes, and submit their responses.

Go to Careers → Evaluations to create and manage question sets.

Assign evaluations to attendees when setting up an interview. Completed responses appear on the candidate’s record.

Use the links below to jump to a section:

Evaluations Section

The Evaluations section holds the question sets available for interview assignments.

Create separate sets for different roles or interview types. For example, use one set for an initial interview and another for a technical assessment.

Each evaluation has a title and a list of questions. The title identifies the set in the Evaluation selector during interview setup.

Create an Evaluation

  1. Go to Careers → Evaluations.
  2. Select Add New.
  3. Enter a title that describes the evaluation.
  4. Under Questions, select Add Question.
  5. Enter the Question Text.
  6. Choose whether Score should be enabled.
  7. Add the remaining questions and arrange them in the required order.
  8. Select Save Changes.

Use Remove Question to remove a row. An evaluation must contain at least one question before it can be assigned.

Scored Questions and Notes

Each question has a Score toggle. You can mix scored and notes-only questions in the same evaluation.

Score Enabled

The interviewer must select a rating from 1 to 10. They can also add optional notes to explain the rating.

The rating contributes to the evaluation’s overall percentage.

Score Disabled

The question collects optional notes only. It does not contribute to the overall percentage.

Assign an Evaluation

Assign evaluations while preparing the interview information email, after the candidate accepts an interview time.

  1. Go to Careers → Candidates and open the candidate’s record.
  2. Open the interview response containing the accepted time.
  3. Select Set up interview.
  4. Choose the meeting type and enter the meeting details.
  5. Under Attending Interview, enter the attendee’s Name and Email.
  6. Choose a saved question set from that attendee’s Evaluation selector.
  7. Use Add another attendee for additional interviewers.
  8. Select Send Interview Information.

Each attendee has their own evaluation selection. Assign the same question set to everyone or choose different sets for different interviewers.

Leave Evaluation blank for attendees who should receive the meeting information without an evaluation request.

See Reviewer Tools for interview scheduling and setup instructions.

Interview Email

When you select Send Interview Information, the candidate and listed attendees receive the meeting details.

An attendee with an assigned evaluation also receives a Candidate Evaluation button in their email. It opens their individual evaluation page.

The button is added automatically from the attendee’s evaluation selection. You do not need to paste an evaluation link into the interview message.

Each assignment has its own link, so responses are recorded against the assigned interviewer.

Complete an Evaluation

To submit interviewer feedback:

  1. Open the interview information email.
  2. Select Candidate Evaluation.
  3. Check the candidate’s name and interview date.
  4. Select a rating from 1 to 10 for every scored question.
  5. Add any notes.
  6. Select Submit Evaluation.

The page displays a confirmation once the evaluation has been submitted.

Every scored question requires a rating. Notes are optional, including on questions with scoring disabled.

A submitted evaluation cannot be submitted again through the same link.

View Completed Evaluations

  1. Go to Careers → Candidates.
  2. Open the candidate’s record.
  3. Find the Evaluation section before Reviewer Tools.
  4. Select View beside a completed evaluation.

The results table shows the interviewer’s name, overall percentage, and completion date.

View opens the saved questions, individual scores, and any notes. Evaluations containing only notes-only questions display Not scored instead of a percentage.

Only completed evaluations appear in this results section.

Score Calculation

The overall percentage uses only questions with Score enabled.

Total points ÷ maximum possible points × 100

For example, four scored questions have a maximum of 40 points. Ratings of 8, 7, 9, and 8 total 32 points, giving an overall score of 80%.

Notes-only questions do not increase or reduce the score.

Evaluation Reminders

An unfinished evaluation receives one automatic reminder three days after the interview ends, provided the assignment is still active and its link has not expired.

Completed, cancelled, or expired assignments do not receive the reminder.

Configure the reminder’s sender details, subject, and message under Careers → Settings, using the Interviewer Evaluation Reminder settings.

Edit a Question Set

  1. Go to Careers → Evaluations.
  2. Open the question set.
  3. Edit, add, remove, or reorder questions.
  4. Adjust the Score toggles as needed.
  5. Select Save Changes.

Changes apply to future assignments.

Evaluations already assigned retain their original questions and scoring settings. Editing a question set does not rewrite an interviewer’s existing assignment or completed responses.

Cancelled and Rescheduled Interviews

Cancelled Interviews

Cancelling an interview revokes its unfinished evaluation links. Removing an attendee’s evaluation assignment also revokes that unfinished link.

Rescheduled Interviews

Rescheduling creates a new evaluation assignment for each attendee with an evaluation selected. Interviewers should use the link in the latest interview email.

Completed results remain on the candidate’s record.

Evaluation links expire 60 days after the assignment is created. They also stop accepting responses once submitted or revoked.

Interviewers should use their own link because it identifies their assignment.

Access to completed results follows the candidate’s access permissions. Restrictions such as Only Viewable by Assigned Reviewers also apply to evaluation results.

Troubleshooting

A Question Set Is Missing from Interview Setup

  1. Confirm the set has been saved under Careers → Evaluations.
  2. Check that it contains at least one question.
  3. Close and reopen interview setup after saving a new set.

An Interviewer Has No Candidate Evaluation Button

Check that an evaluation was selected for that attendee before the interview information was sent. Leaving the attendee’s Evaluation selector blank sends the meeting information without an evaluation request.

An Evaluation Cannot Be Submitted

Check that every scored question has a rating from 1 to 10. Notes are optional and do not replace a required rating.

Completed Feedback Is Missing

Confirm that the interviewer selected Submit Evaluation, then reload the candidate’s record.

Look in the Evaluation section before Reviewer Tools. Only completed responses appear there, and your account must have permission to view the candidate’s private information.

An Evaluation Displays Not Scored

An evaluation containing only notes-only questions has no overall percentage. Enable Score on the relevant questions if future assignments should collect ratings.

Changing the question set does not add scores to existing assignments or completed responses.

An Interviewer Still Sees the Previous Questions

Assigned evaluations retain the questions and scoring settings saved when the assignment was created. Edits to the question set apply to future assignments.

A Link Shows Evaluation Link Expired

The link may have reached its 60-day expiry, already been submitted, or been revoked by an assignment or interview change.

After rescheduling, use the evaluation link in the latest interview email. If the evaluation was already submitted, review the completed response on the candidate’s record.

An Evaluation Reminder Was Not Sent

Check that three days have passed since the interview ended and that the evaluation remains unfinished, active, and unexpired.

Each eligible assignment receives one automatic reminder. Completed, cancelled, and expired assignments do not receive it.
