Candidates
Overview
The Candidates settings control default reviewer assignments and optional automatic removal of older candidate records.
Go to Careers → Settings → Candidates.
Use the links below to jump to a section:
Default Reviewers
Use Default Reviewer(s) to assign selected users automatically to every new application.
When a new application is processed, the selected users are added as reviewers. The setting applies to future applications. It does not change applications that already exist.
Only users with an eligible Kraken Careers role can be selected:
- Administrator
- Careers Administrator
- Careers Manager
- Careers Team
Set Default Reviewers
- Open Careers → Settings → Candidates.
- Select one or more users under Default Reviewer(s).
- Select Save Settings.
Leave the field empty when new applications should not receive a global reviewer assignment.
Default reviewer assignment does not replace a reviewer assignment made later from an individual candidate record.
Change Default Reviewers
Changing the list affects future applications.
Removing a user from Default Reviewer(s) does not remove that user from candidate records where they have already been assigned. Update those candidate records separately when necessary.
Automatic Candidate Removal

The Candidates Removal settings can move older candidates to the WordPress Trash automatically.
This feature is disabled by default.
Enable Candidates Removal
Select Enable Candidates Removal to activate automatic removal.
When enabled, Kraken Careers checks candidates and moves eligible records to Trash after the configured number of days from their Date Submitted.
Candidates are moved to Trash. They are not permanently deleted by this setting.
Stages to Remove
Use Stages to Remove to choose which candidate stages are eligible for automatic removal.
Only candidates currently in a selected stage are considered. If a candidate moves to another stage before the cleanup runs, the candidate is skipped unless the new stage is also selected.
If the default candidate stage is selected, candidates without a saved stage are treated as belonging to that default stage.
Days Until Removal
Enter the number of days after Date Submitted before an eligible candidate can be moved to Trash.
The value must be between 1 and 3650 days.
For example, setting the value to 30 makes a candidate eligible after 30 days when the candidate is still in one of the selected stages.
The cleanup runs through WordPress scheduled tasks, so removal may not occur at the exact minute the retention period ends.
Configure Automatic Removal
- Open Careers → Settings → Candidates.
- Select Enable Candidates Removal.
- Select the stages that may be removed.
- Enter the number of days under Days Until Removal.
- Select Save Settings.
Review the selected stages and retention period before saving. The setting applies to every matching candidate.
Save and Check Your Settings
Select Save Settings after changing either setting.
For default reviewers, submit a test application and confirm that the selected users appear as reviewers.
For automatic removal, check that:
- The feature is enabled.
- At least one stage is selected.
- The number of days is valid.
- The candidate is in a selected stage.
- The candidate’s Date Submitted value is old enough.
- WordPress scheduled tasks are running.
Do not use a real candidate record for a removal test unless moving it to Trash is intended.
Troubleshooting
A Default Reviewer Is Not Available
Check the user’s WordPress role.
Only Administrators, Careers Administrators, Careers Managers, and Careers Team users can be selected as default reviewers.
A New Application Has No Default Reviewer
Confirm that the user is selected under Default Reviewer(s) and that the settings were saved.
Default reviewers are assigned when a new application is processed. Changing the setting does not update older applications.
Also confirm that the selected user still has an eligible role.
Existing Candidates Did Not Change
The setting controls future applications. It does not rewrite existing reviewer assignments.
Open the candidate record and update its reviewers directly.
A Reviewer Cannot Open the Candidate
Reviewer assignment and access permission are separate checks.
Review the user’s Kraken Careers role, reviewer assignment, and any restriction that limits candidate information to assigned reviewers.
See Setting Up Users for user access settings.
Candidates Are Not Moving to Trash
Check that:
- Enable Candidates Removal is selected.
- At least one stage is selected.
- Days Until Removal is between 1 and 3650.
- The candidate is still in a selected stage.
- The Date Submitted value is valid and old enough.
- WordPress scheduled tasks are running.
The cleanup runs on a schedule, so removal may be delayed.
The Wrong Candidates Were Removed
Review the stages selected under Stages to Remove.
Automatic removal uses the candidate’s current stage. If the default stage is selected, candidates without a saved stage are included.
Change the candidate’s stage or removal settings before the next cleanup task runs.
Candidates Were Moved to Trash but Not Permanently Deleted
That is expected. This setting moves matching candidates to the WordPress Trash.
Permanent deletion is a separate WordPress action.
Disabling Removal Did Not Restore Candidates
Disabling the setting stops future automatic cleanup. It does not restore candidates already moved to Trash.
Open the WordPress Trash and restore any candidate records that should remain available.
